🚀 What’s New?

File System Client Permissions are here!

Hi all, in this new update we have some long requested changes. One of the most used features on SuperOkay is the file exchange system. However many of you use it in different ways so we created more granular permissions to fit your use case. Now you can allow you clients to have full ability to create, remove and edit files.

To do this, you can access project settings and navigate to the Manage Access tab as seen below.

Here are the new file permissions for Clients:

  • ✅ When you have: Create ONRemove ON => Move turns ON automatically
  • ❎ When you have: Create OFF or Remove OFF or both OFF => Move turns OFF automatically
  • ✳️ The Update function operates independently to rename and reorder documents
  • ❇️ Also, if all permissions are turned OFF, clients can still answer QA’s and approve documents.

Also: There’s an easier way to move blocks up & down within a SuperOkay document with arrows in addition to drag & drop. This is helpful for larger size text blocks.

  • CMD/CTRL + UP -> move block up
  • CMD/CTRL + DOWN -> move block down

Our “Action Item” page feature is designed to streamline your workflow and enhance your user experience. Now, you can access all action items across your organization in one convenient place. No more need to navigate through each project to find your desired action items – they’re all just a click away.

🏘️ Client Portal Updates
  • ✒️We enabled client sign in with “real” Magic Link and also added the option for signing in with Email + Password
  • ⚙️ In the updated “Organization Settings” section within the Client Portal, you now have the option to enable client login with both Magic Link or Email + Password. If you enable both options it will be up to your client to choose the one they prefer.
  • 1️⃣ Magic link now expires in 1 hour from the client request.
  • 📨 Email + Password Login will keep the session live for up to 2 weeks if your client doesn’t log out.
  • 💡For everyone with an active account and Client Contacts who use SuperOkay, if you switch over to Email + Password, here’s how it works:
    • Once you make the switch from Organization Settings, your clients can log in one last time with a Magic Link.
    • After logging in, they will be prompted to set a password (this step cannot be skipped).
  • 📝 Translation is available for Login Page.
  • 🔔 You now also have the option to toggle email notifications on/ off.

🔐 Organization Roles Update
  • 👨‍💼 We’ve introduced a new team role called Project Manager. A Project Manager has access to all things related to projects, on all projects, but not to managing your team, billing, or organization settings.
  • 💪 The Owner role has been renamed to Admin.
  • Admins can now set roles for other members of their organization from Admin → Team Members.
👥 Project Access Management for Your Team
  • 🚨 Basic Members are no longer able to create new projects or make changes to Project Settings.
  • 🔐 In order for a Basic Member to gain access to a project, they must be invited to the project by an Admin or Project Manager.
  • 💡For existing projects, all individuals who had access to the project previously have been moved to the new system. You now have the ability to adjust access on a case-by-case basis as needed.
👩‍💼 Project Access Management for Client Contacts
  • 🚨 Client Contacts must be manually added to a Project to gain access to it.
  • 🎁 You can choose which Client Contacts from a client organization have access to each project. Now you can control which projects any Client Contact can see.
  • Assigning a Client Organization to a Project has moved to Project Settings -> Access Management.
  • 💡Note that for existing projects, all Client Contacts who previously had access to the project have been migrated to the new system.

🔑 Client Email and Password Login

We have some updates regarding how this will work:

  • You will have the option to switch between Magic Link (which is also getting a significant update) and Email + Password.
  • This choice applies to all client portals you have. You can either use Magic Link for all clients, or Email and Password.
  • You will be able to activate Google Login so Client Contacts can connect with their Google account directly from your Client Portal login page.

💡 For everyone with an active account and Client Contacts who use SuperOkay, if you switch over to Email and Password, here’s how it works:

  • Once you make the switch from Organization Settings, your clients can log in one last time with a Magic Link.
  • After logging in, they will be prompted to set a password (this step cannot be skipped).
  • After setting a password, they will need to enter their email and password or use Google Login for every future login.

  • 💄 Improved the way the exported PDFs look like → fixed a lot of the issues you reported where content would be split apart on multiple pages in a poor way.
  • 🆕 Added a new Page Break content block → you now have more control over where the PDF should break when saving a document.
  • 🆕 Added a new Page Break element for the Rich Text content blocks → Now you can break the page wherever you want, even within a Rich Text content block. To access it, just hit return to get to a new line and select the new Page Break icon from the toolbar that appears.
  • 🖨️ Print / PDF preview straight from the Editor → Using the browser Print as PDF feature you can quickly preview how your docs look like as PDF or when printed out.
  • 📦 Archive Projects → long requested feature to help you better organize your workspace and reduce clutter.
  • 🪲 🪓 Updated the way a lot of the Content Blocks look like when your project is set to dark mode. There were some inconsistencies there that made the documents look… not great.
  • 🪲 🪓 Many small bug fixes and tweaks that will make the whole experience of using SuperOkay better.

1st version of Project Templates:

  • We have started building out a library of Project Templates aimed at helping you get started with the setup of your client portals. In the following weeks we’ll focus on content and having the best client portal project templates out there.
  • Whenever you start a new project, you can select from a template, or start with a blank project.
  • You can now have projects without a Client Organization attached to it. This is great for draft work in progress stuff or to have your hand-made project templates without having to create a dummy client organization.

This is our biggest update yet since the launch of client portals! Below you’ll find the highlights. We’ve released lots of smaller bug fixes and improvements across the entire app.

Changes to Docs:
  • You are no longer limited to our document categories.
  • Your existing docs are already ported to the new system and you’ll see folders called “Briefs”, “Estimates” and so on. You can rename them and change their icon if you wish
🆕 Folders:

They’re not just you average folders. We have a lot of features that help your document workflows:

  • One “Shared” folder that contains everything your client will see. Everything outside the “Shared” folder is only visible to you and your team. No more wondering what’s shared with the client and what’s not.
  • How do you share something with the client? Just move your documents or files somewhere in the Shared folder.
  • Drag & Drop to arrange folders and files
  • You and your clients can add comments and action items on any folder
  • ⭐️ Clients can create & edit folders

Share files with clients without having to attach them to SuperOkay docs.

  • Upload files straight in the Docs & Files section, in any folder

You can choose whether you want a public link to the document or not. This is no longer linked to sharing a document to the Client Portal.

We’ve added some much needed restrictions to what your team members can do. From now on, only the Owner (1st one to sign up for SuperOkay) can manage Team Members, delete projects, or manage Billin.

Comments

Get client feedback on shared documents.

Our battle with email continues. Instead of collecting feedback on your proposal or brief via email, why not invite your client to leave a comment right on the shared link?

Here’s how it works:
  • Comments can be added to the document itself or to individual content blocks
  • You’ll can see and filter all open / resolved comments on a document
  • Clients add their name & email address when commenting for the 1st time and they’ll get an email when their comment is resolved
  • You’ll get notified via email and in-app whenever a new comment is addedresolvedreopened, or deleted

Custom colors & fonts

Always stay on brand with more control over the colors and fonts you can apply to briefs, proposals, and estimates.

Color Palettes

Probably one of the most requested features, you now define a color palette at the organisation or project level.

Custom Fonts

Choose what fonts you want to use for headings and paragraphs. We’ve integrated with the Google Fonts API and can now use the 1000+ typefaces they offer. You can even change the font used on each content block.

Interactive Briefs

We added 7 new types of Brief Questions, and turned SuperOkay into a much more powerful briefing tool.

  • Multiple choice: give your clients options to pick from
  • File Upload: your clients can now upload files in Briefs
  • Rating: ask clients to answer by rating on a scale
  • Image Choice: clients can pick between multiple images
  • Sliders: 1D and 2D sliders
  • Date: fill in a deadline or the kick-off date of a project

  • Clients can see the progress of the Brief questionnaire on a shared link.
  • We improved the experience of answering Q&As.

A completely redesigned navigation

Switching between SuperOkay documents is now much faster thanks to the new sidebar. If you’re using the app on a smaller screen, you’ll notice things look much better now.

Improved document approval

Sharing documents with your clients and getting them approved got better.

  • We’ve improved the way shared documents look on a Shared Link.
  • The Approval block is now simpler and when a document is approved, it looks much better.
  • You can now preview the document as your client will see it without having to open the shared link.

Speed & stability

We’ve been working hard to improve the core architecture of SuperOkay and make it even faster than before. We fixed some bugs and made the app faster and better looking than ever.
